Where the organization usually breaks
The quote is in an e-mail, the agreement is in a voice message, the appointment is in a personal calendar and the payment is in the bank statement. Nobody has the whole picture of a client, so each question takes a search through four places.
The risk is not only the lost time. A promise made in a conversation and not written anywhere is the most common reason for a missed deadline, an unbilled service or a client who feels ignored.
One record per client
Start by deciding that each client has one record, and that everything about the client hangs from it: the conversations, the quotes, the contracts, the appointments, the tasks and the payments. When someone new joins the team, the history is already there.
The same person may appear under two names, a nickname and a company name. Unify the duplicates early, because a split record makes the client look smaller than it is.
A quote that is easy to say yes to
A good quote says what is included, what is not, how long it takes, how much it costs and how it is paid. The shorter and clearer it is, the fewer questions come back, and the sooner the answer arrives.
Follow up. Many quotes are not refused, they are forgotten. Set a date to ask again, and write down the answer when it comes, so you know later why a proposal was won or lost.
When the client accepts, move to a written agreement. What the agreement must contain and how it should be signed depend on the country, on the activity and on the professional who answers for it.
- What is included and what is left out
- Time needed and the proposed dates
- Price and the way of payment
- The date until which the quote is valid
Appointments without double booking
A schedule works when it shows people and resources in the same view. A professional, a room and a piece of equipment may all be needed for one appointment, and any of them can be the reason for a conflict.
If you also use an external calendar, bring it into the schedule, or the commitments made there will collide with the ones made here. A reminder to the client a day before reduces absences, and a short confirmation message is usually enough.
Recurring clients and recurring obligations
A client who pays every month brings work that repeats every month: a report, a visit, a closing, a renewal. If each repetition depends on someone remembering, one day it will not happen.
Describe the repeating work once, as a model with an owner, a deadline rule and, when it makes sense, the client's reminder. Then each cycle appears as a task by itself. Watch also the end date of each contract: renewing one month early is easier than rescuing a client after it expires.
Billing without awkwardness
Billing becomes uncomfortable when it depends on someone remembering to ask. Agree on the installments when the contract is made, and let an overdue installment turn into a task for a named person, instead of an unspoken worry.
Keep the tone of the first reminder friendly, because most delays are forgetfulness, and save the firmer message for the cases that last. Invoicing rules and taxes for services depend on the city, the country and the activity, and are a matter for your accountant.
How Verbum helps
Verbum Services keeps each client in full: the conversations, the contracts, the installments and the tasks in the same record. What was promised in a conversation becomes a task with an owner and a deadline, and the client can receive a reminder. Some items are released per customer, so talk to the team about proposals, hours worked and payment links.
- Contracts generated from templates with the client data, sent for signature, with the status of each signer
- The active contract generates the installments in finance, and an overdue one becomes a collection task
- Amendment and renewal of contracts, with the expiry date watched
- Calendar of professionals, rooms and equipment, with your external calendar blocking the schedule
- Recurring task models by client company, with a reminder sent by WhatsApp or e-mail
- One record per client, with duplicates unified, and WhatsApp, Instagram and e-mail in one inbox
